The Governance Support Officer will be responsible for giving day to day support to the Chief Executive, to ensure that the charity complies with all legal and regulatory requirements and where necessary, provide support and guidance to the Service Managers and other key staff. This support will include matters associated with the governance, compliance and operational planning and implementation of St George’s Lupset Ltd strategy and business plan.
Support to the Chief Executive Officer (CEO):
1) Proactively manage and coordinate the diary of the CEO by prioritising and arranging internal and external meetings, ensuring they are fully prepared for all internal and external engagements.
2) Oversee the management of the CEO mailbox, dealing with incoming emails, categorising and filing these as appropriate, responding on behalf of the CEO and arranging delegation to other managers and team members where relevant.
3) Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
4) Ensure that papers and briefings are given to the CEO for meetings and that any instructions/directions are obtained prior to the meeting.
5) Provide timely and relevant information to support decision making and planning, dealing with people internally and externally and appropriately always representing St Georges Lupset Ltd.
6) Collate, prepare and disseminate information and data as required by the CEO (for internal and external correspondence, papers, presentations, reports, and providing appropriate information for meetings and events).
7) Undertake desktop research as necessary to support the CEO’s preparation for meetings and presentations.
8) Project manage special projects for the CEO when required.
Wider organisation support
9) Support the CEO and the SMT in the effective implementation of the operational plan.
10) Support the EPSM to ensure that the organisations CRM system is robust across all areas of the organisation and informs the monitoring, evaluation and impact of individual projects and the whole organisations.
11) Collate, prepare and disseminate information and data as required by the SMT, accurately review, proof-read and assist with materials ensuring accuracy and completeness.
12) Coordinate, plan and minute SMT meetings. Collaboratively prepare agendas and papers and ensure that key discussions and actions are followed up.
13) Support the work of the Communications + Marketing Officer with internal employee communications.
14) Assist in the organisation of all Trustee/staff away days including room bookings and catering, agenda organisation and logistical support on the day.
Governance, compliance and operational planning
15) Support the CEO as Company Secretary to, preparing annual returns to Companies House and the Charity Commission and any other compliance returns.
16) Oversee the implementing and compliance of the Health and Safety Policy in liaison with the CEO and external Health and Safety Consultants and provide support and guidance to managers.
17) Preparing and distributing in good time agendas, minutes and papers for the Governance meetings; Board, Human Resources, Finance and Sustainability and Health and Safety.
18) Support, where necessary, the Finance Officer in preparation of documentation for the Finance Committee and reports for Board.
Support, where necessary, the HR Administrator in the preparation of documentation for the HR Committee and reports for Board.

If you are shortlisted you will be invited to a working interview followed by a formal interview.
Working Interview - At the working interview you will be set a task related to the job role and will be assessed by a small group of stakeholders.
Formal Interview - This is a traditional interview where you will be asked a number of questions by a small panel. You will then have the opportunity to ask questions of the panel.
